Adding a Waiver to Your Opportunity

At Golden, we make it easy to protect your organization and ensure every volunteer is informed and prepared before they show up. Here's everything you need to know about setting up and managing waivers on the platform.

Adding a Waiver to Your Opportunity

Waivers are configured during the opportunity creation process in the Extras step of the opportunity wizard. From there, you can upload one or more waiver documents for volunteers to review and accept.

A few things to keep in mind when uploading:

  • Waivers must be uploaded in PDF format
  • Each file has a maximum size of 10MB
  • You can upload multiple waivers if needed

How Waivers Work for Volunteers

Once a waiver is added to your opportunity, volunteers are shown the document and asked to accept it during the sign-up process. Golden only allows those who have completed the waiver to sign up — until it's signed, a volunteer will not appear on your roster or take up a spot in your opportunity.

Volunteers under the age of 18 will have the waiver emailed to their parent or guardian for acceptance.

Are digital waivers legally binding? Absolutely. Under the federal E-SIGN Act of 2000 and established legal precedent, digital signatures carry the same legal weight as a handwritten signature on a physical document. Golden keeps a record of every waiver acceptance, so you can ditch the filing cabinet and trust that you're fully covered.

Viewing Waiver Status

Want to see who has (and hasn't) completed the waiver? Here's how:

  1. Go to the My Opportunities tab
  2. Click the opportunity title to open the opportunity detail page
  3. If a waiver is required, you'll see a dedicated column showing each volunteer's waiver completion status

Manual Registrations & Waivers

If you or another organizer manually registers a volunteer through the Dashboard (rather than having them self-register), waivers are handled a little differently. Here's what happens automatically:

  1. Confirmation email — The volunteer receives an email with a link to accept the waiver
  2. Dashboard tracking — Their waiver status will appear in the Dashboard. Look for any "Not Yet" indicators in the waiver column — you can hover over them to get a "Copy Link" option to share the waiver link directly with that volunteer
  3. Kiosk prompt — If a volunteer arrives for check-in without having signed the waiver, the check-in Kiosk will prompt them to complete it on the spot

This ensures all your volunteers complete required waivers, no matter how they were registered.
