Enabling Participants to Bring Guests

Enabling participants to bring guests is a great option for some Opportunities.

This can lead to expedited registrations by allowing the participant to create registrations on behalf of their family and friends (i.e., they can bring guests).

Before allowing participants to bring guests, the organizer should understand the implications it can have regarding data collection. Some considerations below:

Allowing guests - guest information optional

In this scenario, participants do not need to indicate who they are bringing, only how many guests they are bringing (within what the Opportunity allows for). For example, John Smith registers for this Opportunity that allows up to three guests and does not require information. John registers 3 guests; they will show up in the organizer dashboard as:

  • John Smith
  • John Smith Guest 1
  • John Smith Guest 2
  • John Smith Guest 3

On the day of the Opportunity, John Smith's guest can enter their information (name, email, and a couple of other fields) into the kiosk, which will replace the "Guest 1" placeholder with their actual information.

Be aware: Many of the data fields specified for the Opportunity will not be asked at the check-in kiosk, and therefore will not be collected for guests that are registered in this fashion.

Allowing guests - guest information required

In this scenario, participants need to indicate who they are bringing (first name, last name, email address) for every guest they are bringing (within what the Opportunity allows for). For example, John Smith registers three guests; they will show up in the organizer dashboard according to the names and email addresses John Smith provided:

  • John Smith
  • Mary Smith
  • Jack Smith
  • Jill Smith

Note that Mary, Jack, and Jill will receive registration confirmation emails, where they can complete the additional data fields associated with their registration. This affords these guests a chance to complete all of the additional information you requested for the Opportunity (e.g., additional information, custom questions, and more).

Be aware: If guests do not complete this information before the Opportunity, this data will remain unknown, as most fields will be dropped from the check-in kiosk. If collecting all data fields is important to the organizers, it is best to either:

  1. Allow guests, require guest information, and stress to all of your participants that guests should complete their registration prior to check-in, or
  2. Do not allow guests (this is the safest option, which requires all participants to register themselves completely).
