Launching and Using the Check-In Kiosk
Start
To launch the Check-In Kiosk, log into your Golden Dashboard. From here you have two options:
From the Overview, launch "Today's Check-in Kiosk." This option includes:
- Every volunteer registered for a timeslot occurring "today"
- Every volunteer currently registered for an ongoing opportunity
Note: This Kiosk automatically refreshes daily, so you can use a single tablet to manage one location if it stays open continuously.
From either the Overview's "Upcoming Timeslots" section or each Opportunity's Detail Page, launch a Kiosk for just that Opportunity/Timeslot (details below!).
Note: If you're using the Kiosk on your iPad, you may need to allow pop-ups. To do this, go to Settings, find your browser, and in the general section turn off "Block Pop-ups".
To access a Kiosk for an individual Opportunity/Timeslot, simply click on the Opportunity name in the Opportunity tab.
Click the orange button labeled "Launch Check-In Kiosk", and the Kiosk will launch in a separate browser tab.
From the Kiosk, you can:
- Manually check volunteers in or out
- Register volunteers who didn't sign up ahead of time (and it prompts them to sign the Waiver too!)
When registering participants "on-the-fly":
The Kiosk will walk them through the registration process including waiver acceptance if required.
What happens if I forget to "check out" a volunteer?
Don't worry! If you forget to click "Check Out," we'll automatically check out the volunteer and give them credit for their hours.
For Ongoing Opportunities:
We will wait 15 hours to give the volunteers a chance to check out. If it has been longer than that, we will assume that they forgot to check-out and automatically credit them for two hours.
For all other Opportunities:
The system waits approximately 2 hours after the scheduled end time before registering the volunteer as complete. This lag time allows you to "Check Out" a volunteer after the scheduled end of the Opportunity (giving them extra credit for staying late). Hours are calculated by: (end of timeslot) minus (volunteer check-in time).
A few extra notes:
- Golden automatically emails a link to the Check-In Kiosk in the "Who to Expect Today" email (sent to Opportunity Managers and others you've set to be notified).
- The Check-in Kiosk can only be opened through the Dashboard, not the mobile application.
- Our best-practice recommendation is to have the Check-in Kiosk open on a tablet on-site so volunteers can quickly and easily check themselves into their registered opportunities!
- Have too many volunteers on site for a quick check-in process? Try hanging printed QR codes that direct to the kiosk if you want volunteers to be able to check themselves in on their own!
FAQs:
How can I generate a QR code for the check-in kiosk?
Answer: Golden does not have an in-house QR code generator. We recommend utilizing a 3rd party site, like qr-code-generator.com, to achieve this.
My volunteers used the Kiosk. Why are they showing as "Completed" with 0 hours?
Answer: When this happens it usually means that a volunteer used the "Undo Check-Out" feature and cleared their time. However, you can easily update these hours using the Dashboard.
What is the "Today's Check-in Kiosk"?
Answer: The Today's Check-in Kiosk can be used for volunteers to check in for a variety of opportunities that are occurring on the day you opened it. This is great for scenarios where you have more than one opportunity occurring at the same location in a day!
Note: If you have an active, ongoing opportunity, these will show on the Today's Check-in Kiosk each day.
Can I open the Kiosk on more than one device, for the same Opportunity (at the same time)?
Answer: Yes! More than one Check-in Kiosk can be used simultaneously. The Kiosks will refresh approximately every 2 minutes and will load registrations logged by using the other Check-in Kiosk(s)!
Can I see when someone checked-in/out?
Answer: Yes. You can see the check-in/out times on the Insights Export and the Attendance Export. (Note: Exports are only available for paid-plan users)
Why am I having trouble opening the Kiosk on my smartphone?
Answer: This is almost always because there is a setting on your smartphone that is preventing pop-ups from opening in your phone's browser settings. When clicking the link for the Kiosk, it is technically a "pop-up" - so once you change this setting, you should not have any issues.
