Paying for Background Checks and Motor Vehicle Record Checks

Your organization has the option to pay for any Background or Motor Vehicle Record Check that you need your volunteers to complete in order to work with your organization. By default, volunteers cover the cost themselves.

How to Set it Up

  1. Navigate to Settings > Billing and select the Checks Payment Method tab
  2. Add your credit card payment details
  3. Choose which type of checks you want to cover:
    • Background Checks only
    • Motor Vehicle Records Checks only
    • Both Background and Motor Vehicle Records Checks
  4. Enter the email address(es) where you'd like to receive receipts and check-related alerts
  5. If you have chapters, you can optionally allow them to use your payment method for their Opportunity checks

Important Notes:

  • Your organization will be charged per check (Background Checks and Motor Vehicle Records are separate checks)
  • A receipt will be sent for each check run
  • You'll receive the result of each check, but the specific "result details" are a participant's private information that you can request directly from them
  • Only credit card payment methods are accepted
  • The selected credit card will be charged for each check run and completed, regardless of result (pass/fail)

On each Opportunity

When creating or editing an Opportunity, you can require a background check or MVR check. The system will use your configured payment settings to determine who pays for the check.

Note: You (the Organizer) decide who pays for the Background Check through your billing settings, not the volunteer.

How to get a Volunteer to Run a Background / MVR Check

There are two ways to require volunteers to complete background checks:

  1. For specific Opportunities: When creating or editing an Opportunity, simply enable the background check requirement in the Opportunity settings
  2. Standalone Check Opportunity: Create a "Flexible" Opportunity specifically for completing background checks. You could title it "Sign up here to complete your Background Check". The system will ensure that every registered participant completes the required check, and you'll be notified if anyone doesn't pass.
