Reporting in Golden: Insights & Exports

Golden gives you two complementary ways to understand your program's impact: Insights, a live, at-a-glance view of your activity right in the Dashboard, and Exports, detailed CSV files you can download for deeper analysis, record-keeping, or sharing with stakeholders.

Think of Insights as your snapshot and Exports as your source of truth. Insights helps you spot trends quickly, while Exports give you the precise, row-by-row data behind those numbers. Let's walk through how they work together!

Getting to Insights

You'll find Insights in your Dashboard's main navigation menu. The page opens with a short description of what you're looking at, a filter bar, and your summary metrics.

A few things to know about access:

  • Permissions: Users need the View Insights permission to open the page. Organization Owners always have access.
  • Company accounts: Company (corporate) organizations need the Professional Plan to see Insights for their Affiliated Participants. Without it, the page shows an Upgrade to Pro Plan message instead of data.
  • Nonprofit vs. company view: Nonprofit organizations see a few extra metrics (like Active Participants, Share Rate, and Take Rate) that company accounts don't. We'll call those out below.
What You'll See in Insights

Insights is organized into three areas: summary impact cards, Participant Footprint, and Participant Engagement. Every number updates automatically when you change your filters.

Summary impact cards

Tip: New Participants and Returning Participants show (Select Date Range) until you choose a specific date range. They're also hidden when you filter by Custom Groups.

Participant Footprint (nonprofits only)

This carousel highlights the material deliverables and productivity your Participants have collected, like items gathered or produced. It shows both your recent footprints and suggested ones.

Participant Engagement

The Participant Engagement funnel shows how people move from discovering your Opportunities to completing them, labeled with your current date range (or All Time).

  • Views: Every time a participant looked at an Opportunity during the date range. Nonprofits also see Shares and Share Rate (the % of viewers who shared the link). Views are hidden when you filter by Custom Groups or Teams.
  • Sign-ups: Individual registrations during the date range, including Registered, Completed, Cancelled, Missed, Pending, Waitlist, and Awaiting Action. One participant can account for several Sign-ups. Nonprofits also see Take Rate, the % of total capacity filled ("Unlimited" Time Slots count as 100 spots).
  • Completes: The % of Sign-ups that resulted in a completed session, along with the % that were Cancelled, Missed, Pending, On Waitlist, or Awaiting Action.

Insights is a snapshot, so numbers may vary slightly from the precise data in your Exports. When you need exact figures, an Export is your best bet!

Filtering Your Data

The filter bar at the top of Insights lets you zoom in on exactly the activity you care about. Your filters apply to both the on-screen metrics and any Export you run from this page, so what you see is what you'll get!

A few filters can't be combined, so some options will gray out as you make selections:

  • Programs is unavailable once you've selected Opportunities, Opportunity Hosts, or Tags & Campaigns (and vice versa).
  • Opportunity Hosts and Company/Group Represented Today can't be used together.

Your active filters appear as pills below the filter bar. Click the x on a pill to remove it, or clear them all at once.

Heads up: The Export buttons disappear while a Teams filter is applied. Remove the Teams filter to export.

Tip: Your default Opportunity Types are Local and Virtual. If you run Ongoing, Fundraiser, or other Opportunity types, add them in the Opportunity Types filter so they're included in your numbers.

Exports: Getting Your Data Out

Exports give you the detailed, row-by-row data behind your Insights. You'll find Export buttons throughout the Dashboard, and each one is tailored to the page you're on.

How every Export works

  1. Click the Export button on the page you're viewing.
  2. Confirm the email address where you'd like to receive your file. It defaults to your own email, but you can change it to send the file to a colleague.
  3. Click Export. You'll see a We're on it! confirmation.
  4. Check your inbox for an email with a link to download your .csv file. Larger exports can take a few hours to compile, so don't worry if it doesn't arrive right away!

Some organizations have additional report buttons on the Insights page, such as a Monthly Hour Report (completed sessions with hours, notes, and Footprint data) and a Volunteer Data Report (one row per Participant with total hours). These only appear if they've been enabled for your account, so reach out to your Client Strategist if you're interested.

Good to know

  • Date Range is based on the session date. The Export includes registrations whose Time Slot starts within your selected dates, no matter when the participant signed up.
  • Some filters don't carry over to the Export. The Opportunity Types filter isn't applied, so your file may include types you excluded on screen. Teams filters can't be exported at all.
  • Minors' details are protected. Date of Birth and mailing address are left blank for Participants under 18.
  • Background check status isn't included here. Use Export Attendance on an Opportunity that requires checks to see Background Check Status and Motor Vehicle Check Status.
  • Demographics come as a separate file. If your organization collects demographics, the email includes a second link, Download Anonymized Participant Demographics. This Excel file shows aggregated gender and race/ethnicity counts and only displays results once enough Participants have responded (20 by default), to protect anonymity.
Who Can Use Reporting

Access to reporting depends on both your organization's plan and each user's permissions.

A few details to keep in mind:

  • Organization Owners have every permission automatically.
  • Opportunity Managers can export attendance for the Opportunities they manage, even without the Export Data permission.
  • If your plan doesn't include Exports, clicking an Export button opens an Upgrade instantly to access a .csv file message with an Upgrade Now link to your billing settings.
  • If you don't see an Export button at all, you likely don't have the Export Data permission. Ask an Admin on your account to update your access.
Tips for Great Reports
  • Start in Insights, finish with an Export. Use Insights to find the story, like a spike in Returning Participants, then export the same filters to get the exact numbers.
  • Set a date range first. New and Returning Participants only appear once you pick specific dates, and a date range keeps your Export focused.
  • Double-check your Opportunity Types. Add Ongoing, Fundraiser, or other types to your filters if you want them counted on screen.
  • Send it where it's needed. You can enter any email address in the Export prompt, which makes it easy to send data straight to a teammate or board member.
