Participant Registration Statuses

In the new dashboard, we've added more statuses so that organizers can have greater transparency on their registered participants! The different statuses can be seen in the Opportunity detail page (this is the page you see once you click on an opportunity in the Opportunities tab on the left menu).

Understanding Your Participant Statuses:

Registered: The participant has fully registered and is using one of the capacity spots (if there was a limit chosen). No action needed with this status.

Awaiting Action: The participant has not yet fully completed the registration. You can hover over this term and it will display a helpful message explaining what is required from the participant before registration is finished. This status appears when:

  • Parental consent is required but not yet provided
  • Emergency contact information is needed
  • Both parental consent and emergency contact information are required

Pending: The volunteer/organizer has not yet had their attendance confirmed. We will send an email notification to the organizer and the volunteer if we have not received indication. See more about volunteer attendance confirmation at "How do volunteers confirm their attendance?"

Completed: The participant has confirmed their attendance and logged hours for this volunteer opportunity.

Checked-In: The participant has checked-in via the Check-In Kiosk but has not yet checked-out. This status appears alongside other statuses (e.g., "Registered (Checked In)" or "Pending (Checked In)").

Checked-Out: The participant has checked-out of the Opportunity using the Kiosk. This "Checked-out" status will be updated to "Complete" about an hour or so after the Opportunity's scheduled End Time (why? Just in case someone inadvertently checks out, we give them a time window to check back in before they're logged as "Complete"). This status appears alongside other statuses (e.g., "Registered (Checked Out)").

Missed: The participant has been indicated, either by themselves or the Dashboard, that they did not attend.

Cancelled: The participant's registration has been cancelled, either by them or by an organizer.

Waitlisted: The participant is on the waitlist for this opportunity. Generally, the waitlist is first come, first served, so participants are removed from the waitlist in the order in which they were added.

Needs Check: The participant needs to complete a background check or motor vehicle record check before they can fully participate. This status may show additional details:

  • "Needs Check - Not Started" indicates the participant hasn't begun their check yet
  • "Needs Check - Pending" indicates the check is currently being processed

Not Selected: The participant was not selected in the selection process for a waitlisted opportunity.

Expired: The participant's registration spot has expired (typically used for time-sensitive registrations or reservations).
