What Happens When a Background Check Expires?
When a background check expires, volunteers stay registered for their original opportunity and remain in the associated Group that gives them access to private-closed opportunities. This means expired checks do not trigger automatic unregistration.
Email Notifications
Volunteers receive automatic email notifications about their expiring background check:
- 10 days before expiration: "Your background check will expire soon" email
- When expired: "Your background check has expired" email with a link to renew
There are currently no email notifications sent to organizers when volunteer background checks expire.
Background Check Renewal Process
For opportunities where the participant pays:
- During their first background check, volunteers must select yes or no for auto-renewal
- If they select yes:
- The system attempts to automatically renew their check 1 day before expiration
- If their payment method is valid and unexpired, the check automatically renews
- If payment fails for any reason (expired card, insufficient funds, etc.), auto-renewal is permanently disabled and the check expires
- Volunteers can disable auto-renewal at any time in their account settings
- If they select no:
- They receive the expiration warning emails (10 days before and when expired)
- They must manually renew their check by providing payment information
For opportunities where the organizer originally paid:
- Volunteers receive emails 10 days before expiration and when expired
- These emails ask the volunteer to provide their payment information to renew
- The check does not auto-renew, even if the volunteer had auto-renewal enabled on a previous check
- Organizer payment is not offered as an option for renewals
