User Permission Overview

Every Dashboard user on your account has a permission level that controls what they can do and which notification emails they receive. Here’s a breakdown of each level!

Owner

The Owner is the person who first created the Golden account for your organization, company, or school. The Owner has full access to everything in the account, including billing and user management. Every account has exactly one Owner, and the Owner can’t be removed from the account.

  • Can: Create and edit any Opportunity, view all data, manage billing, and add or remove users.
  • Receives emails for: Billing notifications, chapter and partner requests, Weekly Pending Actions (such as participant reviews and affiliation requests), and Opportunity notification emails when no one else is set to receive them.
  • Transferring ownership: The Owner can transfer ownership to another user with the Change Owner button on the Settings > Users page. After the transfer, the previous Owner becomes an Admin.

Admin

  • Can: Create and edit any Opportunity, view all data, manage billing, and add or remove users.
  • Receives emails for: Weekly Pending Actions (such as participant reviews and affiliation requests), and Opportunity notification emails when no one else is set to receive them.

Writer

  • Can: Create, submit, and edit any Opportunity, including those created by others. Can view all Opportunities, participants, and Insights, and can export data.
  • Receives emails for: Writers don’t receive organization notification emails by default. They’ll receive notification emails for Opportunities they create or are assigned to manage.

Reader

  • Can: View all Opportunities and participants, and draft (but not submit) Opportunities. Readers can’t view Insights or export data.
  • Best for: New staff members or interns who are just learning the platform.

Opportunity Manager

  • Can: Manage specific Opportunities they’re assigned to, and create new Opportunities (including from templates). They can only see their own Opportunities, and don’t have access to most other Dashboard features.
  • Receives emails for: All notification emails for the Opportunities they’re assigned to manage.
  • Best for: Assigning an Opportunity to someone who doesn’t usually manage events for you, such as an outside chaperone.

Who receives Opportunity notification emails?

Sign-up, cancellation, and “Who’s Coming” emails go to the Opportunity Manager or notification email set on the Opportunity. If no one is assigned, they go to the person who created the Opportunity. If the creator is no longer on your account, they go to the Owner and Admins. For details, see Which Organizer Gets Email Notifications for an Opportunity?

Using Roles-Based Permissions?

If your organization uses Roles-Based Permissions, you’ll assign one or more roles to each user instead of the levels above. Existing users keep their current level. Available roles include:

  • User Admin: Invite, manage, and remove users
  • Billing: Manage billing information, subscriptions, and payments
  • Integrations: Connect and manage third-party integrations
  • Opportunity Admin: Manage all Opportunities
  • Opportunity Coordinator: Create and manage their own Opportunities
  • Reporting: View Insights and export reports
  • Participant Manager: Manage participant profiles and records
  • Organization Settings: Configure organization settings and preferences
  • Contact: Receive account notifications and communications
  • Credential roles: Approve, create, or override credentials
  • Web Tools roles: Manage suggested questions, tags, and footprints
  • Outbox Viewer: See messages sent to participants through the Dashboard

When ownership is transferred in a Roles-Based Permissions account, the previous Owner receives every role. Learn more in Roles-Based Permissions.

A note about user limits: Accounts without multi-user access are limited to 5 Dashboard users. To add more, contact your Client Strategist.
